Privacy Notice (GDPR)

This privacy policy describes how and when I collect, use and share information when you attend an appointment at my clinic, purchase a product, contact me or otherwise use my services. This is to comply with the General Data Protection Regulations (GDPR) 2018

Who we are:

Amanda Scott Podiatry Clinic is a private healthcare clinic providing podiatry services. 

What are we going to do with your information?

We collect your relevant information to enable us to provide health services to our patients, to maintain accounts, records and to promote services. This information may include personal details, financial transactions, lifestyle, and social circumstances. We also process sensitive information that may include physical or mental health details and racial or ethnic origin. 
At this moment in time we do not use your information to market our services to you. If in the future this changes you will be asked to opt in stating your preferences of how you wish to receive information. 

Why are we asking for your information?

We are not being nosy! We do need to ask you about certain things like your medical history as it affects your feet. We want to give you the best possible treatment when you visit us and to do this we need you to be honest with us about your health and lifestyle.  We are required by law to keep records of your treatments and this information forms part of this. If you register your mobile phone number or email address, we will send you an appointment reminder. We may also contact you regarding changes to clinic etc which are likely to directly affect you with regard to your treatment. 

Sometimes it is necessary to share some of your information. So, who will we share it with?

Mainly with you (our patient) and with the reception team (Helen and Penny) so they can help you make your appointments. We also share out daily patient list with only your name and appointment time with the receptionist at Mansfield Business Centre. This is due to the need for a fire register for the building. 
If you are claiming your treatment costs back from an insurer then they may have data shared with them to confirm your appointment details, cost etc. 
Where necessary or required we also share information with other healthcare professionals (such as a GP or nurse), your parent/ guardian (if you are a minor) or your welfare guardian or carer (with your consent) if you require additional support to attend us. 
If I sell or merge my business, I may disclose your information as part of that transaction to allow continuity of your care  but only to an extent permitted by law and with your consent.
When we do have to share your data, we are required to comply with all aspects of the Data Protection Act (DPA) and are registered with the Information Controllers Office (ICO).

How do we store your data?

Our practice went digital in 2020 and all our records are securely stored, password protected, in line with the law. We maintain paper files for longstanding patients and any paperwork linked to your visit e.g., paper medical form. This is all stored in locked filing cabinets at the clinic. We are required by law to keep any podiatry files for a minimum of 8 years. After this, if you have not attended the clinic again, they will be disposed of securely.

Who is your data controller?

Amanda Scott-Barker has taken on this responsibility, and she can be contacted at the clinic.

I want to remove my information from your company, how can I do that?  

Please contact the clinic and we can discuss your options. You have a number of rights in relation to your personal information. While some of these rights apply generally, certain rights apply only in certain limited cases. However, these rights are:

  • Access. You have the right to access and receive a copy of personal information I hold about you by contacting the clinic.
  • Change, restrict, delete. These changes can be made to personal information. However medical records are normally exempt from change.
  • Object. You can object to my processing of some of your information and receiving marketing messages. In such cases I will delete your personal information unless I have a compelling and legitimate grounds to continue using that information, or it is needed for legal reasons.
  • Complain. If you wish to raise a concern about my use of your information you have the right to do so with the Information Commissioner www.ico.org.uk. 
    We are legally required to keep your medical records for a set period of time (at least 8 years and longer for under 18).

What happens to my data when I contact you through your website or social media pages?

If you contact us through these methods, your information will only be used to answer your query. Your details will only be registered with us if you then go on to become a patient. Your details maybe shared with our receptionists if appropriate to answer your query.
